ESENPT

The people of your agency who work in the account: who they are, what role each one has and which workspaces they reach.

What it is

Team is the list of people who work in your account, with the role of each one and the workspaces they can reach. It is in the account menu: Account → Team. The screen is titled Internal team.

From here you invite a person, change their role, limit them to some workspaces, remove their access and reset their two-factor authentication.

The account Owner can always use this screen. A member whose role does not include managing members cannot load the list.

What it is for

  • Give each person their own sign-in. Nobody shares an access: each member enters with their own email.
  • Decide how much each person can do. The role separates who runs the account from who works on it day to day and who only reads.
  • Keep a client's workspaces with the people who serve it. A member can be limited to the workspaces you choose.
  • Cut access the day someone leaves. You revoke it from this screen and it stops at once.
  • Unblock a member who lost their phone. You reset their two-factor authentication so they can sign in again.

How it works

  • There are three roles. Owner, Operator and Viewer. When you pick a role, the screen shows under the selector what that role can do.
  • The Owner can always do everything and sees every workspace. That cannot be limited.
  • What Operator and Viewer can do is defined by Domain Stabilizer and is the same for every account. You choose the role of each person; you do not edit what the role allows. The line under the role selector tells you what it covers.
  • Workspace access is a second, separate setting. An Operator or a Viewer has either All workspaces or Specific workspaces only, and in the second case you tick which ones.
  • An invitation needs no link. The person receives an email telling them they were invited. The invitation is accepted on its own the next time they sign in to the console with that email. Until then the member appears as Invitation pending.
  • If the person has no Domain Stabilizer user yet, one is created with the email you entered.
  • Revoking does not delete the member. They lose access and stay in the list, greyed out, as Revoked.
  • The account always keeps an Owner. The last active one cannot be revoked or given a lower role. The person who created the account cannot be changed or revoked by anyone.
  • Two-factor authentication belongs to the person, not to the account. If you reset it for a member who also belongs to other accounts, they lose it there too.

What you see on screen

  • The header. The title Internal team and the Invite member button.
  • The list of members. One row per person, including the pending and the revoked ones. The person who created the account comes first; the rest follow in the order they were invited.
  • Name / Email. The name and the email. Your own row carries the mark you. A member with two-factor authentication turned on carries the mark 2-factor.
  • Role. The role of the member.
  • Scope. All workspaces, or the number of workspaces assigned. For an Owner it reads — (Owner sees all).
  • Status. Active, Invitation pending or Revoked.
  • Invited. The date the person was invited.
  • The pencil at the end of the row (Edit). It opens the member: role, workspace access, two-factor reset and Revoke access. It does not appear on your own row or on a revoked member.

A green notice at the top confirms each change; a red one says what could not be done.

How to…

Invite a member

  1. Open Account → Team and press Invite member.
  2. Fill in Email. Name (optional) is optional.
  3. Choose the Role. Read the line under the selector: it says what that role can do.
  4. For an Operator or a Viewer, choose under Workspace access between All workspaces and Specific workspaces only. With the second, tick at least one workspace.
  5. Press Invite.

The member appears in the list as Invitation pending and receives an email. They become Active the next time they sign in with that email.

The invitation email is written in the language you have the console in at that moment.

Change a member's role

  1. In the member's row, press the pencil (Edit).
  2. Choose the new role under Role.
  3. Press Save role/scope. The button only appears when you have changed something.

If you make the member an Owner, the workspace options disappear: an Owner sees every workspace.

Limit a member to some workspaces

  1. In the member's row, press the pencil (Edit).
  2. Under Workspace access, choose Specific workspaces only.
  3. Press Save role/scope.
  4. Tick the workspaces the member should reach. Each tick is saved the moment you make it; there is no button to press.
  5. Press Close.

To give back access to everything, choose All workspaces and press Save role/scope.

Do not skip step 3. The ticks only count once the member is saved as limited to specific workspaces.

Remove a member's access

  1. In the member's row, press the pencil (Edit).
  2. Press Revoke access, at the bottom left.
  3. Accept the confirmation.

The member stays in the list as Revoked. This screen has no option to undo it.

Reset a member's two-factor authentication

Use it when a member lost the phone with their authenticator app and has no recovery codes left.

  1. In the member's row, press the pencil (Edit).
  2. Under Reset two-factor authentication, press Reset 2-factor. This block only appears if the member has two-factor authentication turned on.
  3. Read the confirmation and accept it.

From then on the member signs in without the second step, and their recovery codes stop working. They receive an email saying it was done and who did it. They can turn it on again from their own user: see Security.

Only do it if the member asked you through a channel you know. Only an Owner can do it, and never on their own user.

If you get stuck

The list does not load and an error appears

If you are not an Owner, your role in this account does not include managing members: ask the account Owner to make the change you need.

If you are an Owner, reload the page: the list could not be fetched at that moment.

The invitation says the person is already a member

That email is already in the list of this account. Look for its row:

  • If it is Active or Invitation pending, there is nothing to invite. Open it with the pencil to change the role or the workspaces.
  • If it is Revoked, it cannot be invited again from this screen. Write to us with the email of the member and of your account.

The invite button is greyed out

Either the email is missing, or you chose Specific workspaces only and ticked none. Tick at least one workspace, or choose All workspaces.

The workspace list says there are none

The account has no workspaces yet, so there is nothing to tick. Invite the member with All workspaces, or create the workspace first in Account → Workspaces.

A member is still shown as pending

They have not signed in since you invited them. Ask them to sign in to the console with the exact email you invited. There is no link to press and no date on which the invitation expires.

If they did not get the email, they can sign in all the same: the invitation is waiting for them. Check first that the email in the list is spelled correctly.

The role cannot be lowered or the access revoked

There are two cases, and the red notice names which one. It can show a short text in English or a code.

  • The last owner (code last_owner). The member is the only active Owner of the account. Make another member an Owner first, and then try again.
  • The creator of the account (code creator_immutable). The member is the person who created the account. Their role and their access cannot be changed.

A row has no pencil

It is your own row, or the member is revoked. You cannot change your own role or revoke yourself from this screen; another Owner has to do it.

The member has no option to reset two-factor authentication

The block only appears when the member has it turned on; in that case their row carries the mark 2-factor. If the mark is not there, there is nothing to reset: the member signs in without the second step.
