The companies your agency works for: their status, their workspaces, their commercial details and the analyses you run to win them.

What it is

Clients is the list of the companies you work for, or want to work for. Each client groups one or more workspaces. It is in the account menu: Account → Clients.

A client here is a company, not a person. The people at that company who receive reports are managed inside each workspace, in External clients.

The account Owner can always see and change everything on this screen. Other roles, if their role includes it.

What it is for

  • See your portfolio by company. One row per client, with how many workspaces and domains it has and whether any of them needs attention.
  • Keep the relationship in order. Each client has a status: prospect, active, paused or churned.
  • Keep the commercial details in one place. Monthly value, contract start, next renewal and internal notes, visible only to whoever should see them.
  • Win a prospect with facts. You analyze a prospect's domain, add what you would do about it, and send it as a PDF with your brand or as a link.

How it works

  • Every workspace belongs to a client. When you create a workspace, a client with the same name is created with it, in status Active.
  • You can also create a client on its own. It starts with no workspaces. It is the way to register a prospect.
  • The status is yours to set. You choose it when you create the client and change it whenever you want.
  • The commercial details have their own permission. The Owner always sees and edits them. A role without that permission sees a notice instead of the block.
  • The prospect analysis exists only for clients in status Prospect. It analyzes the domain you type. You do not need to add the domain to a workspace or verify it.
  • Prospect analyses have a monthly limit per account. The counter next to the block title tells you how many you have used this month.
  • A client with workspaces cannot be deleted.

What you see on screen

The list

  • Clients, with the New client button on the right.
  • The status filters. All, Prospect, Active, Paused and Churned. Press one to see only the clients in that status.

The table has one row per client, with these columns:

  • Name: the name and, below it, up to four of its tags.
  • Status and Industry.
  • Workspaces and Domains: how many it has.
  • Health: how many of its domains are on fire or, if none, how many are to review; if neither, Nothing pending. A second mark counts the domains in maintenance. A client with no domains shows Empty.
  • Continuous stabilization: how many of its domains are under continuous stabilization, out of the total.

Press a row to open the client.

The client

  • Basic. Name, status, industry and Tags (comma-separated), with the Save button.
  • Commercial. Monthly value, Currency, Contract start, Next renewal and Internal notes, with the Save commercial button. It only appears if your role includes the commercial details.
  • Prospect analysis. Only for clients in status Prospect. A field for the domain, the Analyze button and the list of analyses already run. Each analysis shows its score, the domain, the date and three icons: Edit pitch, Share link and Download branded PDF.
  • Workspaces. The workspaces of this client, each with its number of domains.
  • At the bottom, Delete and Close.

How to…

Create a client

  1. Open Account → Clients.
  2. Press New client.
  3. Write the name. Choose the status and, if you want, the industry.
  4. Press Create.

The client appears in the list with no workspaces.

Change the name, status, industry or tags

  1. Press the row of the client.
  2. In Basic, change what you need. Write the tags separated by commas.
  3. Press Save.

Record the commercial details

  1. Press the row of the client.
  2. In Commercial, fill in the monthly value, the currency, the contract dates and the notes you need. All are optional.
  3. Press Save commercial.

The two blocks are saved separately. Save does not save the commercial details, and Save commercial does not save the name or the status.

See only the clients in one status

Press the status above the table. Press All to see the whole list again.

Analyze a prospect's domain

  1. Open a client in status Prospect.
  2. In Prospect analysis, write the domain of the prospect.
  3. Press Analyze and wait. The analysis appears at the top of the list, with its score.
  4. Press the Edit pitch icon, write in What we would do what you would do for this prospect, and press Save.

Send the analysis to the prospect

As a PDF:

  1. On the analysis, press the Download branded PDF icon.
  2. The PDF is downloaded with your agency's brand, in the language of your console.

As a link:

  1. On the analysis, press the Share link icon.
  2. If you want to protect it, write a PIN of 4 to 8 digits. It is optional.
  3. Press Create link.
  4. Press the Copy link icon and send the link to the prospect. If you set a PIN, send it too.

While the link is active, the analysis carries a mark with the number of times it has been viewed.

Delete a client

  1. Press the row of the client.
  2. Press Delete.
  3. Confirm with Delete.

Only a client with no workspaces can be deleted.

If you get stuck

The screen says your role cannot create clients

Your role in this account can see clients but not change them. Ask the account Owner to make the change, or to do it for you.

The screen says your role cannot edit clients

It is the same cause: your role does not include changing clients. Ask the account Owner.

The commercial block is not there

In its place there is a notice saying the commercial details are restricted. Your role does not include them. The Owner always sees them, and can include them in your role.

The delete button is greyed out

The client still has workspaces; they are listed just above the button. A client can only be deleted when it has none. If you simply stopped working with them, change the status to Churned instead: the client and its history stay, and you can filter it out of the list.

The prospect analysis block does not appear

It only appears for clients whose saved status is Prospect. If you have just changed the status, press Save, close the client and open it again.

The screen says you reached the monthly limit

Prospect analyses are limited per account and per calendar month. The counter next to Prospect analysis shows used and available. It starts again on the first day of the next month. The analyses you already ran stay available to download and share.

The screen asks for a valid domain

Write only the domain, such as example.com, with no spaces and not an email address.

The analysis failed

The domain could not be analyzed at that moment. Check that it is spelled correctly and press Analyze again. A failed analysis does not use up your monthly limit.

The screen says the PIN must have 4 to 8 digits

The PIN accepts only numbers, between 4 and 8. Write a longer one, or leave the field empty to share without a PIN.

The health and continuous stabilization columns are blank

Those two columns come from the account summary. If it could not be loaded, they are left blank rather than showing a state that may be wrong; the rest of the list works. Reload the page. For a client with no domains, the continuous stabilization column is always blank.
